Data We Are Required to Retain

TrustRoom operates under the Health Insurance Portability and Accountability Act (HIPAA) and applicable state medical record retention laws. As required by federal and state law, certain clinical records must be retained even after account deletion:

  • Clinical messages and journal entries — archived for the legally required retention period (typically 7–15 years depending on state law)
  • Care plan responses and mood data — archived as part of the clinical record
  • Audio recordings and session notes — archived per medical record retention requirements
  • Audit logs — retained for 6 years per HIPAA § 164.530(j)

Archived clinical records are stored in encrypted, access-controlled long-term storage. They are accessible only to your former treating provider as required for continuity of care and legal compliance. Archived data is automatically and securely destroyed via cryptographic erasure after the applicable retention period expires.

For more details on our data retention practices, please review Section 7 of our Privacy Policy.

Provider Account Deletion

If you are a healthcare provider using TrustRoom Connect, please note:

  • Provider accounts have a 30-day reactivation grace period after deletion is requested
  • Active patient relationships must be transitioned before account closure
  • Clinical records created by you are retained per HIPAA requirements

To delete your provider account, navigate to Settings > Account > Delete Account in the TrustRoom Connect portal, or email support@trustroomconnect.com.
